Terms of Service:

Primary Policy:

1. Cancellation & Refund Policy:

• 1.1 Full Refund: : A full refund will be issued only if a written cancellation request is submitted at least 70 days prior to the scheduled conference. All necessary documentation must be completed 60 days in advance
• 1.2 Partial Refund: Cancellations made between 60 and 30 days before the conference may be eligible for a partial refund, subject to deduction of administrative fees.
• 1.3 No Refund: Cancellation requests submitted within 30 days of the event are not eligible for a refund. However, the registrant will receive a conference credit valid for 12 months from the original event date.
• 1.4 Late Registration: Registrations made within 30 days of the conference are non-refundable. However, such registrations may be transferred to another upcoming ISSER conference.
• 1.5 Change of Format: Since this conference is hybrid format, the organizer reserves the right to conduct the event either in-person or virtually. Please note that no refunds will be issued due to changes in the event format.
• 1.6 Transfer of Registration: Participants unable to attend may transfer their registration to a colleague from the same institution. Such requests must be submitted via email to info@isser.org at least 14 days prior to the event and must include appropriate documentation. Once transferred, the registration is non-refundable.
• 1.7 Virtual Registration: Registrations for virtual participation are non-refundable, but participants may receive credit toward a future ISSER event.
• 1.8 Invitation Letter Clause: Cancellations are only permitted if the official invitation letter has not been issued. Once issued, the registration becomes non-refundable.

2. Communication & Registration Compliance:

• 2.1 Mandatory Post-Registration Contact: After completing the registration process, it is the responsibility of the registrant to contact the ISSER team for updates, scheduling, and further instructions. If the registrant fails to contact and subsequently misses the opportunity to attend, registration will be deemed invalid, and no refund will be issued.
• 2.2 Unacknowledged Communication: If the registrant fails to respond to communications from ISSER or its representatives for a period of more than 15 days after registration, the registration will be considered invalid, and will not apply.
• 2.3 Submission of Registration Form: Registrants must submit the required registration form within 7 days of registering. Failure to do so will result in the cancellation of the registration, with no eligibility for a refund.

3. Participation & Registration Guidelines:

• 3.1 Mandatory Registration: Only individuals who complete registration within the official timelines are permitted to participate in ISSER events
• 3.2 Event Modifications: ISSER reserves the right to modify the event schedule, venue, or format. Notice will be given via email. The organization is not liable for any financial loss due to such changes.
• 3.3 Author Substitution: If the primary author is unable to attend, a co-author may present instead. However, refunds will not be issued in such cases.
• 3.4 Discounted Registrations: Any registration under a concession category is strictly non-refundable.
• 3.5 Communication Responsibilities: Registrants must actively communicate with ISSER post-registration. Failure to respond to official communication within 15days, , or to submit registration documentation within 7 days, will invalidate the registration.
• 3.6 Late Registration Clause: Participants who register after the official deadlines may be limited to virtual participation, subject to conference capacity. However, such participants may attend one additional ISSER event in their registered category.

4. Paper Submission & Publication Policies:

• 4.1 Institutional Notification: Authors are required to ensure that their institution, department head, or supervisor is informed about their submission
• 4.2 Review Process: All submissions will undergo a peer review conducted by at least two qualified reviewers (internal or external).
• 4.3 Publication Eligibility: Only papers linked to a fully completed registration will be included in the conference proceedings.
• 4.4 Authorship Clarification: The submitting author is regarded as the primary author. ISSER does not investigate or verify disputes related to authorship. Proven misconduct will lead to permanent withdrawal of the paper without the option for resubmission.
• 4.5 Rejection & Withdrawal: Suspended or withdrawn submissions will not be reconsidered, republished, or redistributed.

5. Travel & Accommodation:

• 5.1 Participant Responsibility: Attendees must make their own travel and accommodation arrangements. ISSER does not offer support in this area.
• 5.2 Financial Liability: ISSER is not responsible for any costs incurred due to changes in conference dates, location, or format.
• 5.3 Fee Exclusions: Registration fees do not cover travel, lodging, or personal expenses.

6. Visa & Invitation Letter Guidelines:

• 6.1 Self-Managed Travel: Participants are responsible for organizing their own visa, travel, and lodging arrangements.
• 6.2 No Embassy Communication: ISSER will not liaise with consulates or embassies on behalf of participants.
• 6.3 Visa Support: While the Invitatio letter may assist in obtaining a visa, ISSER offers no guarantees of approval and bears no responsibility for denial or delays.
• 6.4 Document Misuse: Unauthorized changes to the invitation letter or misuse of the document will result in its invalidation, and the registrant may face disqualification from participation and potential legal action.
• 6.5 Agreement: Acceptance of the invitation letter implies agreement to abide by international travel laws and ethical guidelines for participation.

7. Registration Transfers:

• 7.1 Eligibility: Registration transfers are permitted to colleagues from the same organization in the event the original participant cannot attend.
• 7.2 Transfer Process: Requests must be made in writing to info@isser.org with complete documentation at least 14 days before the conference.
• 7.3 Refund Ineligibility: Transferred registrations cannot be refunded under any circumstances.
• 7.4 Invitation Letter Clause: If the invitation letter has been issued, the transfer process must be completed within 7 days of issuance or no later than 20 days before the event.
• 7.5 Conference Changes: In case of a change in the event itself, the registrant must notify the organizing team at least 25 days before the revised date.

8. General Legal & Ethical Statements:

• 8.1 Organizational Independence: ISSER operates as an independent academic body. It is not affiliated with any government, university, or corporate institution unless explicitly stated.
• 8.2 Participation Rights: ISSER retains the right to deny participation, withdraw submissions, or terminate affiliations if any breach of terms or misconduct is identified.
• 8.3 Legal Jurisdiction All legal matters, including disputes and claims arising from participation or registration with ISSER, will fall under the jurisdiction of the courts in Chennai, India.
